There is a huge misconception within the wedding industry today that the coordinator provided by your wedding venue is the same as hiring a coordinator or wedding planner independently. This could not be farther from the truth. When the role of your venue coordinator is not communicated correctly, the success of your wedding (and let’s be honest, your sanity) becomes vulnerable to the obstacles that can arise when you depend solely on the venue coordinator provided to you.
Most wedding venues include a venue coordinator to some capacity. They come under various titles such
So what’s the big deal? Why should you consider hiring a personal wedding coordinator if your venue already provides a wedding coordinator? There are three main differences: priorites, experience, and reliability.
Difference between a venue coordinator and a wedding coordinator: PRIORITies
The venue coordinator is hired by the venue, gets paid by the venue and is scheduled by the venue. Their job is to make sure that you are satisfied with your decision to select that venue for your wedding day. They make sure that everything within your venue contract is delivered in a proper manner and that you are happy with the site. Should there be an issue during your planning process, venue coordinators are obligated to prioritize the venue.
On the other hand, your wedding coordinator is hired by YOU, gets paid by YOU and has set a schedule based on YOUR wedding needs and package selection. My job as your wedding coordinator is to make sure that you are satisfied throughout the wedding planning experience and the wedding day. Encompassing more than just your venue, I organize your details to ensure every piece comes together seamlessly on your wedding day. When an issue arises before or on the wedding day, I am YOUR advocate.
Difference between a venue coordinator and a wedding coordinator: EXPERIENCE
The venue coordinator likely toured you through the event spaces before you booked that venue. A great focus of their job is selling the property and the upgrades available. Sometimes (not all the time) venue coordinators do not even have wedding coordinating experience. Their background is in sales and they are given the wedding coordinator title by the venue. When you depend on someone who does not have wedding planning experience to guide you in wedding planning decisions of any kind, there is a big possibility they may accidentally mislead you. This happens so often only because they just don´t know what they don´t know. There was a venue coordinator I worked with that would suggest to couples that using an
Difference between a venue coordinator and a wedding coordinator: RELIABILITY
This is one of the greatest issues I see when couples rely on the venue coordinator for their wedding day. There are so many amazing venue coordinators out there that are great at their jobs, have wonderful personalities and you just love them! I hate to break it to you but, the venue coordinator is NOT guaranteed to be there on your wedding day! It happens all too often, the really great venue coordinators move on to greater venues or often start their own business within the wedding industry. I have seen venue coordinators start wedding planning businesses (me being one of them!), floral businesses, and even their own venues! It is worth mentioning that some venues have higher turnover than others. I am not joking when I say there are venues that have had 13+ venue coordinators within 5 years. When you have that much turnover, details can get misinterpreted or not relayed to the next coordinator at all.
The venue coordinator is not guaranteed to be there on your wedding day
By having a wedding coordinator that you have hired, you lock in a contract with someone you trust, to keep all of your details organized throughout the entire process. Your contracts are reviewed, all verbal promises are gathered in writing, no guessing games regarding important wedding details, and the peace of mind that who you hired will be there with the knowledge of each detail of your very important day.
Venue coordinators are an essential part of the planning process. They know the venue better than anyone and they are there to make sure the spaces are set according to the details outlined within your wedding contract. Venue coordinators
